This explains what personal data I handle when you visit this site or work with me, why, and what you can do about it. I keep as little as I need, and I never sell it.
Who is responsible
Inner Lab Coaching (Michel Guerreiro), a sole proprietorship in the Netherlands, is responsible for your data, the “controller” in legal terms. Email: michel@innerlabcoaching.com. BTW-id: NL005369631B55. My KvK number is available on request.
What I collect
- Contact and booking details: your name, email, and whatever you share when you book a first conversation or write to me.
- Your reflection form: if we start working together, the answers in your pre-coaching reflection form. These can be personal, so I treat them with care.
- Session content: what you share in our sessions. With your consent, I record and transcribe sessions with Otter as a private memory aid. You’re asked before we start, and you can decline.
- Messages: emails and WhatsApp messages between us.
- Payment details: your name and the information needed to process your payment.
- Website: the site sets no tracking or advertising cookies. I use Cloudflare Web Analytics for basic, cookieless visitor numbers, like page views and where visitors come from, which doesn’t identify you or track you across other sites.
Why I use it, and the legal basis
- To deliver the coaching and stay in touch with you: to carry out our agreement.
- To record sessions as a memory aid: your consent.
- To handle payments and keep required records: my legal and tax obligations.
- To run and protect the practice: my legitimate interest in operating it properly.
Who I share it with
I use a small number of trusted services to run the practice. They handle data only for these purposes, on my instructions:
- cal.com, for booking.
- Google Workspace, for email (Gmail), video sessions (Google Meet), your reflection form (Google Forms), and your coaching agreement (Google Docs).
- WhatsApp, if you message me there.
- Otter, for session recording and transcription, on a paid plan with AI training switched off.
- Notion, for a simple, private record of clients and session notes.
- Mollie and bunq, for payments and banking.
- Cloudflare, for cookieless, privacy-friendly analytics.
Some of these are based outside the EU, for example in the US. Where that’s the case, transfers rely on appropriate safeguards, such as the EU-US Data Privacy Framework or standard contractual clauses. I don’t sell your data or share it for advertising.
How long I keep it
Your reflection form, any documents you share, and any session recordings: no longer than 4 weeks after our coaching ends, unless we agree otherwise. Payment and invoice records: about 7 years, because Dutch tax law requires it. Basic contact details: only as long as I need them.
Your rights
The data is yours. You can ask me to show you what I hold, to correct it, delete it, hand you a copy, or stop using it in a certain way, and you can withdraw any consent at any time. Just email me and I’ll take care of it. You also have the right to take any concern to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
Security
I take reasonable steps to keep your data safe and to share it only with the services above.
Changes
I may update this policy. The current version always lives here, with the date it was last updated.
